Asana Smart Status alternative without upgrading your plan

See which Asana plans include Smart Status and how to get a sponsor-ready status update or portfolio rollup on Starter, Personal, or legacy plans.

By The Unblockd teamPublished

On Asana Starter, you can probably already use Smart Status on single projects. Asana's forum walkthrough puts it on the newer Starter and Advanced plans. Starter lacks Smart Status for portfolios and goals, which needs Advanced or higher, so you only need a portfolio rollup routine. On the free Personal plan or a legacy plan, use the manual status updates that every Asana plan includes, a reusable template, and an AI assistant your organisation already approves.

In both cases you get the same result by running a short routine yourself instead of clicking Generate.

Which Asana plans include Smart Status?

Asana Smart Status for a single project is on the newer Starter and Advanced plans, per Asana's forum walkthrough. Smart Status for portfolios and goals needs Advanced or higher, according to Asana's forum. Manual status updates come with every Asana plan, including the free Personal plan, per Asana's status updates page.

If you are on Starter, the feature you are mainly missing is portfolio and goal Smart Status. A consultant's comparison says Personal has no AI features. To check your own workspace, open a new project status update and look for a Generate option in the Highlights panel, as the forum walkthrough shows. If the option is missing or your plan name looks different, confirm your plan under billing and ask your Asana admin or Asana support what it includes and what a move to a current plan would mean.

What does Smart Status actually do that you need to replace?

Smart Status drafts a project status update from the tasks, due dates, and task titles already in the project, according to Asana's forum walkthrough. To replace Smart Status, you need the same input it works from: a clean task list for the reporting period, plus a standard place and structure to write the result each time.

The data matters for any alternative. If task titles are vague and due dates are stale, a generated draft has the same problems. A sponsor-ready update depends on good project data first and the writing tool second.

How do you write a good status update on your current plan?

Write each update in the manual status update that Asana includes on every plan, with the same headings every time: overall status, progress against deliverables, blockers, decisions needed, and next steps. Fill the headings from your task list for the period, then post the update in the project so the history stays in one place.

  1. Before the sponsor meeting, filter the project to tasks completed and tasks due in the reporting period.
  2. Tidy task titles and due dates that no longer match reality. This also improves any AI draft later.
  3. Open a new status update in the project and paste in the template below.
  4. Write the decision you need first, so the sponsor sees it before the detail.
  5. Post it, then send the link to your sponsor with one line saying what you need from them.

Copy this template:

Status: [On track / At risk / Off track]
Period: [start date] to [end date]

Decision needed
[What you need decided], by [date]. Options: [option A] or [option B].
My recommendation: [option], because [reason]. If we wait past [date], [consequence].

Progress against deliverables
- [Deliverable]: [done / in progress / not started], evidence: [task or link]
- [Deliverable]: [status], evidence: [task or link]

Blockers and help needed
- [Blocker], owner [name], help needed from [person] by [date]

Next steps
- [Next step], owner [name], due [date]

A common mistake is burying the ask under the progress list. A sponsor who reads only the top of the update sees that work is moving and puts off replying. Keep the decision section first even when the rest of the news is good, and write "No decision needed this period" when there is none.

How do you draft the update with an AI tool you already have?

Copy the period's task list out of Asana, paste the list into an AI assistant your organisation has approved, and ask the assistant to fill your status template. Then check every line against the project before posting. You get a first draft without a plan change, but you do the copying, checking, and pasting yourself.

Check your organisation's data policy before pasting client or internal project detail into any outside tool. Then use a prompt like this:

You are drafting a project status update for [sponsor role].
Use only the task list below. Do not invent progress, dates, or owners.
Fill this template: [paste template].
Flag any task that is overdue or has no owner.
List anything that looks like a decision the sponsor needs to make,
and mark it "to confirm" so I can review it.

Task list for [start date] to [end date]:
[paste tasks with titles, assignees, due dates, completion status]

Read the draft against the project before posting. Watch for completed work described as late, blockers the task data cannot show, and decisions the AI guessed at. Delete anything you cannot point to in the project.

How do you replace a portfolio rollup on Starter?

To replace a portfolio rollup, ask each project lead to post a manual status update using the shared template before a set day. Then write a short portfolio summary that lists each project's status, its top blocker, and any decision needed. The shared headings make the rollup a quick copy job instead of a rewrite.

Starter readers are most likely to need this section. If your workspace shows the Generate option on project status updates, each lead can start from that draft, edit it into the shared headings, and post it. You then build the portfolio view from those posted updates.

  1. Agree the template and the posting day with the other project leads.
  2. On the rollup day, open each project's latest status update.
  3. Copy the status, the decision needed, and the top blocker into one summary.
  4. Put projects needing a sponsor decision at the top.
  5. If you use an AI assistant here, paste in only the posted updates and use the rollup prompt below.
You are drafting a portfolio summary for [sponsor or leadership role].
Use only the posted status updates below. Do not invent progress, dates, or owners.
Start with "Decisions needed": project, decision, deadline, owner.
Then group the remaining projects by status: [Off track], [At risk], [On track].
For each project, give its status and top blocker in one line.
List any project in [portfolio name] that has no update below.

Posted updates:
[paste each project's latest status update]

Before you send the summary, check that every project in the portfolio appears in it and that no update is missing because it was posted late. Chase any missing lead before the sponsor meeting rather than leaving the gap unexplained.

What outside tools can draft the update for you?

Outside tools for an Asana status update take one of two routes: a spreadsheet or report template you fill from an Asana export, or an AI automation that drafts a weekly report. Both routes give the update a consistent structure on your current plan, but neither works inside Asana like Smart Status or follows up on a sponsor decision.

For the template route, published templates such as the project status report template from Coupler.io and the project update template from SpreadsheetPoint give you a fixed layout to fill in each period.

  1. Export or copy the period's tasks from Asana into the sheet.
  2. Update the status, owner, and due date columns.
  3. Copy the summary rows into your Asana status update or your email to the sponsor.

The template route has limits. You repeat the export every period, the sheet goes stale as soon as tasks change in Asana, and a decision becomes one more row rather than a clear question at the top.

For the automation route, guides such as ShopClawMart's guide to automating weekly status reports with AI walk through the setup. Before you connect anything to Asana data, agree the setup with whoever manages your tools and your data policy. Whatever the setup, review every draft against the project before it reaches the sponsor, and keep the decision at the top. The automated draft reflects only the data it is given, and it sends a report rather than a question with a deadline.

Route What you do What it doesn't cover
Manual Asana status update Fill the template from your task list One-click drafting
Approved AI assistant Paste tasks, review the draft Live Asana data (you copy tasks by hand)
Spreadsheet template Export tasks, fill the sheet Live Asana data; repeat export each period
AI report automation Set up with your tools owner, review drafts Sponsor decision and follow-up

Should you switch to a free Asana alternative for this feature?

Switching project tools only for AI status drafting is hard to justify from the published comparisons. The free Asana alternative lists that rank for this search, such as ONES's roundup and The Business Dive's review, compare seats, boards, and storage rather than AI status summaries, so you would be testing that feature yourself after moving.

Where free plans do include automation, the limits are worth checking. ONES lists ClickUp's free plan at 100 automation actions a month and Trello's Butler at 50 runs a month.

Before you consider a move:

  1. Run the template routine above on your current plan for a few reporting periods.
  2. If you still want a switch, check the other tool's free-plan automation limits against how often you report.
  3. Count the cost of moving projects and retraining the team, not only the subscription price.

Where do these workarounds fall short?

The manual routine replaces the Smart Status draft, not the follow-through. You still copy data by hand, check the AI's output, and chase replies. A status update informs the sponsor, but a decision needs a clear question, a deadline, and a reminder. None of these workarounds sends the question or the reminder for you.

If your bottleneck is waiting on answers, a better summary will not fix the delay. Ask for the decision as a direct question with a deadline, and send a reminder before that deadline. Unblockd sends asks to the sponsor by email, with a first reminder after 3 days and another the day before the deadline.

Weigh the tradeoffs before you commit:

  • Time per update. Copying, prompting, and checking takes longer than clicking Generate. If you report on many projects, the upgrade may cost less than your hours.
  • Data quality. Any draft, generated or written by hand, is only as good as the task data behind it. Projects tidied early in the period produce better drafts.
  • Sponsor response. Put the decision first in the update and follow up before the deadline if you have no answer.

What should you do before the next sponsor meeting?

Test one routine on a single project before the next sponsor meeting. Add the template to your next manual status update and try the AI prompt on that period's tasks. On Starter, also run the portfolio rollup once with the other leads. Then compare the effort each routine takes with the price of upgrading.

Use a decision rule you can observe. If you report on a single project, stay on your plan: on Starter, use project Smart Status if your workspace shows it, and otherwise use the template and prompt. If you report a portfolio and the rollup routine takes longer than the meeting it feeds, price Advanced and compare it with the time you are spending.

Questions people ask

Can I get Smart Status on the free Asana Personal plan?

No. A [consultant's comparison](https://www.kellyperryconsulting.com/blog/asana-free-vs-premium-2026) says Personal has no AI features. Personal does include [manual status updates](https://asana.com/features/project-management/status-updates), so you can use a reusable template and write the text yourself or draft it with an approved AI assistant.

Does Smart Status read my project notes or only tasks?

[Asana's forum walkthrough](https://forum.asana.com/t/automate-project-status-updates-with-the-asana-intelligence-smart-status-feature/552005) says Smart Status relies on data in the project such as tasks, due dates, and task titles. If important context sits somewhere else, add it to the update yourself before you post it.

Should I paste client project data into a general AI chatbot?

Only if your organisation's data policy and your client agreement allow it. If you are unsure, remove client names and sensitive detail before pasting, or ask your IT or security lead which assistant is approved.

Does my status update template stay the same if I upgrade later?

Yes, keep the same headings. If you later move to a plan with Smart Status, use the generated draft as a starting point and edit it into your template, so sponsors keep seeing the decision first and the same layout every period.

How often should I post a status update for my sponsor?

Post one before each sponsor meeting, and post sooner when a decision or blocker cannot wait. A steady rhythm helps sponsors learn where to look, and it makes the portfolio rollup easier for everyone.
