Set up automatic progress and weekly digests

Keep project progress current from your team’s tools, then choose whether weekly sponsor reports send on a local-time schedule. Both are optional; the first-answer setup stays four steps.

Updated

Set it up

  1. Connect your project toolA workspace admin opens Settings → Connected tools and connects the tool your team works in. Access is read-only. Connecting a tool does not turn on tracking or automatic sending.
  2. Link a source and choose where work landsOpen the project’s Sources tab and press Link a source. Choose the board or project. Pick a destination deliverable, or use milestone matching: a source milestone must match exactly one deliverable title. Unmatched or ambiguous work waits for a mapping; it is never guessed.
  3. Enable Automatic progress trackingAn admin explicitly enables Automatic progress tracking on the linked source. Unblockd catches up on open work and completed work from the last 30 days. Incomplete catch-up resumes every 5 minutes; once caught up, the source refreshes every 15 minutes. Choose Sync now to request another refresh and inspect the source status.
  4. Set a weekly digest schedule separatelyTurn on the project’s weekly digest in Sponsor view. A workspace admin separately enables automatic sending under Automations there, or in Settings → Automations. Choose the weekday, local hour, and IANA timezone, such as America/Chicago. The schedule follows that timezone through daylight saving changes. Without automatic sending, a person reviews and sends each draft.

Catch-up, pending work, and source sync

The source status shows whether catch-up is still running, when progress last refreshed, pending work that needs a destination, missing items, and refresh errors. A large source can need several runs. Use Sync now, then check the status again; one successful request does not prove complete coverage.

Pending work needs a destination or an unambiguous milestone match. Correct the mapping in Sources and refresh again. If access fails, an admin reconnects the tool in Settings → Connected tools. Deleted or inaccessible items are surfaced as missing rather than silently counted as complete.

A provider API may omit completed history, completion dates, or the status metadata needed to interpret historical items. The source can still supply current work, but automatic reports wait when coverage cannot be verified. Unknown completion dates never become this week’s accomplishments. A provider limitation is shown as such; an incomplete catch-up is still work to finish, not proof that the provider cannot support it.

What happens at the scheduled time

Before sending an automatic report, Unblockd refreshes and verifies source coverage. If catch-up, mapping, missing items, provider limitations, or errors prevent verification, it retries for up to one hour, then holds the report and notifies the team. Check Sources, fix what is missing, and review the held report. A saved schedule does not certify that a provider’s live connection has been verified.

Imported tasks and their names remain internal. Sponsors see shared deliverables, progress, proof, and asks. Done in a source never accepts or approves a deliverable; your team still checks its proof and records acceptance.

Ask your AI for help

Ask “Is progress tracking caught up for this project?” or “What timezone is our weekly digest using?” Your assistant can inspect linked-source status and automation timing, explain pending work, and use sync_source for a manual refresh you authorize. It cannot enable Automatic progress tracking or turn automatic sending on or off. Those choices stay with a workspace admin in Unblockd.
